Ad Hoc Reports give you the flexibility to turn raw data into meaningful insights without relying on pre-built templates. Whether you need a quick snapshot, recurring analysis, or a formatted export to share with others, the Ad Hoc Report tool puts control in your hands. By selecting the right topic, applying filters, and choosing your output format, you can tailor reports to meet your specific business needs.

The following steps will walk you through the complete process of creating an Ad Hoc Report, from topic selection to saving and running your report. 

Step 1: Create a new report 

  • From the Main Reports menu or the My Ad Hoc Reports portlet, click Create Ad Hoc Report.

  • The timeline at the top shows where you are in the process, so you’ll always know what’s next. 

 

Step 2: Select a report topic category 

  • Choose a category that best matches the type of report you want to run.
  • Click Select Topic under the topic name to confirm your choice. 

 

  • View the topics available.
  • Only one topic can be selected for each report.
  • Many include a Quick View preview of the data set. Not all topics offer this option. 

 

To view the full report, click outside the Quick View window to return to the Report Topic panel, then select your topic and open the report. 

 

Step 3: Add filters 

  • On the filter selection screen, review the default filters provided for the chosen topic. 

  • To add more, click Add Filters and search by keyword.
  • Click the + symbol to apply a filter, then choose values or criteria. 

 

  • Click Save and Proceed to confirm your filter selections.
  • All filter conditions must be met for records to be included in the output. If no filters are selected, a pop-up will appear asking if you want to continue without filters.

Step 4: Build your report 

  • The report creation page defaults to a Tabular layout (the most common). 

 

  • To switch to a Matrix layout, select it manually (note: this removes any existing layout selections).
  • Search for fields to add, then click the + symbol to include them. 

 

  • Fields can be reordered by dragging and dropping them to the desired location in the report display.
  • To delete fields from the report, click on the green arrow, then click on the red x to remove. You can also drag a field back into the available fields list to remove it.
  • Some fields support additional functions. For example, IDs can be counted or uniquely counted, and currency fields can include arithmetic operations such as sums. Not all fields have functions available. 

 

  • The preview shows only 20 rows, but the full data set will be included in the final report. 

Step 5: Save and run your report 

  • Enter a report name, assign it to a category, and add tags for easy searching.
  • Choose whether to mark it as a favorite and provide a report title.
  • Select an output format (Excel, Word, PDF, CSV, ASCII, or HTML). Options may be limited depending on report type and number of columns.
  • Click Run Report. Your report will be queued for processing. 

 

  • Once complete, you can open it from the current screen or from the My Report Activity portlet. Reports that you have run that day will display with a status, and when complete, a blue checkmark appears next to the name. You can click the checkmark to access the report.
  • You do not need to wait on the same page for the report to finish processing.
