When you have received your invoice and the amounts are not as much as you were expecting. There are a few different possibilities as to why that occurs. This article will help you troubleshoot to find the discrepancies and advise on next steps.
CGDS Gift Batch Eligibility
- The first Wednesday of the month, the system includes gifts that are considered "CGDS Gift Batch Eligible" in that month's disbursement cycle
- CG validates through automation if a gift is in an eligible state to be included in the payout
- A system check is performed on 4 data points
- If any one of the four data points is not in the correct state, the gift will not be included
The four data points are: Organization status approved. Gift disposition approved. Organization address complete. Tax status is verifiable with IRS/CRA/NCES.

- Can I make any changes to an organization record in order to reinstate its payout eligibility?
- How does the Organization Vetting Team review an organization?
- The OV team does extensive research within the IRS Business Masterfile, the Canadian Registry as well as a few other sites to fully attempt to regain the organization’s status. They will also reach out to the organizations as well to gather more information. If after all the due diligence that they are unable to deem the organization is eligible, they will have the entity rejected.
- How long does it take Organization Vetting to review an organization?
- The timeframe of review depends on what information they can find online and more importantly the responsiveness of the Organization when requesting more detail. If we can gather the details we need from the Masterfile or Registry, then we should be able to correct the organization so the gift will be pulled into the next cycle.
- I have a gift that is approved, and the organization is in good standing. Why was it not pulled into the expected payout month?
- The system pulls in gifts based on the date it was approved. Each month there is an approval deadline that clients adhere to before the payout. If the gift was approved a day late, it will be pulled into the next cycle.
