With Ad Hoc Reports, you can create the insights you need when you need them. Whether it’s a quick analysis, a recurring update, or sharing results with your team, these flexible reports put you in control. Reports can be created, run, and saved to your library for future access, giving you control over how data is filtered, formatted, and presented. 

Ad Hoc Reports are especially useful when standard reports do not fully meet a business need. By selecting report topics, applying filters, and choosing output formats, customers can quickly design reports tailored to their unique requirements. 

Core Features 

Report Topic Categories 

Data elements are grouped into logical categories such as requests, payments, or organizations. Customers select one topic to build a report from, with optional previews of available data. Not all topics provide a preview. 

Filters 

Add filters to narrow your results. Common filters appear automatically, and you can search for more as needed. Data must meet all your chosen criteria to be included. 

Filter Operators 

A wide range of filter operators allows precise control over results: 

  • Text-based operators - Contains, Starts With, Ends With, Equal To, Not Equal To, Does Not Contain, Includes, Does Not Include.
  • Date-based operators - Before, After, Between, On or Before, On or After.
  • Numeric operators - Greater Than, Greater Than or Equal To, Less Than, Less Than or Equal To.
  • Field-based operators - Has a Value, Is Blank. 

Report Creation 

Customers select report fields from the chosen topic. Fields can be searched, added, reordered, or removed. 

  • Fields can be deleted in two ways:
    • To delete fields from the report, click on the green arrow, then click on the red x to remove.
    • You can also drag a field back into the available fields list to remove it.
  • Some fields support functions such as count, unique count, or arithmetic operations for currency values.
  • The report preview shows only 20 rows to help with layout decisions, but the final report includes the complete data set. 

Report Formats 

Reports can be exported in several formats depending on the report type and column count: 

  • CSV or ASCII - Plain text output is best suited for importing into other applications.
  • Excel or Word - Fully editable outputs for further formatting, saving, or sharing.
  • PDF - Presentation-quality output that cannot be altered.
  • HTML - Web-ready output viewable in a browser. 

Report Management 

Reports can be saved, categorized, and tagged for easy searching. Customers may mark reports as favorites for quick access. Once your report is ready, you’ll see a blue checkmark in My Report Activity. No need to wait on the page; keep working while it processes. 

Common Use Cases 

Ad Hoc Reports support a wide variety of reporting needs, including: 

  • Running quick analyses of requests or payments.
  • Building recurring reports to share with stakeholders.
  • Exporting data in specific formats for use in external applications.
  • Saving reports to a personal library for ongoing monitoring.
