Details

Implementing the Impact Report Scheduler Extension involves detailed planning, strict adherence to CyberGrants' methodology, and coordination between your internal team and the assigned CyberGrants implementation team. Proper planning ensures that impact reports are scheduled accurately and consistently across your grant programs.

The following steps will guide you through the implementation process for this extension, from initial planning through post-implementation management.

Pre-implementation planning

Step 1: Define requirements and criteria

  • Identify which Proposal Types will require scheduled impact reports.
  • Determine variables for:
    • Available Date (e.g., 1 day after Final Approval)
    • Due Date (e.g., 30 days after Available Date)
    • Critical Evaluation Logic
    • Visibility Settings
    • Completion Requirement

Step 2: Plan resources and internal review

  • Assign a primary stakeholder or program administrator to lead the process.
  • Review internal policies to define impact reporting requirements across programs.
  • Ensure availability of internal resources for User Acceptance Testing (UAT).

Step 3: Identify technical constraints

  • Confirm that custom worksheets and metric fields are not used in evaluation logic.
  • Understand the limitation of one impact report trigger per request.
  • Review the change control policy (one change per year per extension).

Implementation process

Step 4: Collaborate with the CyberGrants implementation team

  • Share your finalized functional requirements and criteria.\
  • Participate in requirements validation sessions with your assigned Business Analyst.

Step 5: Extension configuration and development

  • CyberGrants will configure the extension per your specifications.
  • A development instance will be provisioned for initial testing.

Step 6: User acceptance testing (UAT)

  • Execute thorough testing of the configured extension in UAT.
  • Confirm the correct generation, visibility, and due dates of impact reports.
  • Provide final sign-off for production deployment.

Post-implementation management

Step 7: Monitor scheduled reports

  • Regularly review the status of scheduled reports (e.g., Pending, Complete).
  • Verify that ‘Report Sent Dates’ and ‘Dispositions’ update correctly.

Step 8: Plan for future updates

  • Track the calendar year in case a change request is needed.
  • If program requirements evolve, coordinate scope-compliant updates with your Project Manager.

Step 9: Maintain documentation and governance

  • Document the logic and configuration decisions for reference.
  • Ensure that changes to grant program workflows continue to align with the configured extension logic.

Implementing this extension will increase efficiency and accountability within your grant reporting process. For further assistance with acquiring this extension, contact your assigned implementation team's Project Manager.
