Understanding Bulk Disposition
Bulk Disposition is a gift management feature that enables administrators to update the status of multiple gifts at once. This bulk action sets eligible gifts to Approved, Process, or Rejected status based on selected search filters.
When approving and processing gifts, bulk dispositioning ensures that only gifts meeting the program’s configured tax status and eligibility requirements are updated. Each gift’s associated organization is evaluated for the proposal type assigned, confirming it satisfies data quality and compliance rules.
- This includes having a valid tax status, a complete set of required fields, and an acceptable organizational status.
- Only gifts with qualifying financial activity, specifically, a gift or match amount greater than zero, based on funding source, are eligible to update.
- To streamline processing, ineligible organizations and gifts are filtered out automatically. The summary table omits any totals related to these ineligible records, showing only those that are ready for approval and processing.
When rejecting gifts, administrators can use the bulk disposition functionality to efficiently update the status of multiple ineligible records at once. This process is helpful when many gifts fail compliance or data validation checks.
- By applying filters such as Organization Tax Status eligibility ("NOT Eligible for Program Type") and Gift Fiscal Year, administrators can identify and reject the appropriate gifts in bulk.
- Once rejected, these gifts are excluded from future processing or payment batches, helping to maintain program integrity.
All displayed records are fully selectable—there are no greyed-out checkboxes.
To prevent timeouts during large updates, search results are capped at the first 100 organizations. If more than 100 are found, a message prompts users to download the full set of results using CSV links.
