Request-level dates help request owners and reviewers manage the grant review and approval process by providing clear visibility into review timelines and committee meeting schedules 

These optional fields appear on individual grant requests and help program administrators with managing the review process: 

  • Request Due Date - Specifies the date by which a review decision should be made on a request. This helps reviewers understand deadlines and allows request owners to track review progress.
  • Committee Date - Specifies the date on which a request will be reviewed by the committee. This helps coordinators organize materials and reviewers prepare for meetings. 

Request-level dates are configured per proposal type, which means you can enable different dates for different types of grant applications. For example, you might use due dates for all programs, but committee dates only for those with formal review meetings. 

 

Configure due dates 

Due dates can be set manually by request owners or calculated automatically by the system. 

Step 1: Navigate to the proposal type 

  • Go to Admin > Application Configuration > Proposal Types
  • Click View Proposal Types and select the proposal type you want to configure. 

Step 2: Enable due dates 

Locate the due date field on requests for the selected proposal type and enable the field by selecting a preferred calculation method. 

  • i.e., Manual: Request owners enter the due date when creating or editing the request. 

Step 3: Configure field requirement 

Set whether the due date is required: 

  • If Required = Yes: Requests cannot proceed into the workflow without a due date (calculated or manually entered).
  • If Required = No: The due date field is optional. 

Step 4: Save and publish 

Click the button to Save at the bottom of the proposal type screen and Publish to make the changes live. 

 

Configure Committee Dates 

Committee dates are manually entered by request owners to indicate when a request will be reviewed in committee. Note: Committee dates cannot be automatically calculated. 

Step 1: Navigate to the proposal type 

  • Go to Admin > Application Configuration > Proposal Types
  • Click View Proposal Types and select the proposal type you want to configure. 

Step 2: Enable committee dates 

Locate and enable the committee dates field on requests for the selected proposal type. 

Step 3: Configure field requirement 

Decide if the committee date must be populated: 

  • If Required = Yes: Requests cannot enter the workflow without a committee date being set by the request owner.
  • If Required = No: The committee date is optional and can be set at any time while the request is in the workflow. 

Step 4: Save and publish 

Click Save at the bottom of the proposal type screen and Publish to make the changes live.
