Implementing the Charitable Spending Account (CSA) Extension requires alignment between your internal teams and Bonterra’s delivery team. The process follows a proven methodology that ensures accuracy, performance, and maintainability. 

  • Only one configuration change is allowed per year.
  • The extension must be used as scoped. Customizations outside the provided framework may incur additional costs.
  • All CSA amounts expire at the end of the specified fiscal year.
  • Allocations are expected in the client’s base currency by default. 

Ensure a seamless rollout of the CSA Extension by following these steps: 

 

Pre-Implementation Planning

Step 1: Define Business Requirements 

  • Confirm the goal of your CSA program (e.g., annual giving budget, allocation strategy).
  • Identify program rules: eligibility, allocation amounts, and redemption conditions. 

Step 2: Resource Planning 

  • Assign internal stakeholders: Admin, Finance, HR, and IT.
  • Determine who will upload files (via FTP or Portlet) and who will manage donor support. 

Step 3: Technical Considerations 

  • Choose your allocation method:
    • Secure FTP Feed (automated)
    • Manual Admin Portlet (dashboard upload) 

 

  • Prepare file generation capabilities for correct formatting:
    • Donor ID
    • CSA Amount
    • Currency (optional)
    • Fiscal Year
    • Proposal Type ID 

 

Implementation Process 

Step 4: Engage with the Bonterra Implementation Team 

  • Submit a request to enable the CSA Extension.
  • Review standard specifications and validate requirements. 

Step 5: Configure Proposal Type 

  • Bonterra configures the CSA Proposal Type application.
  • Ensure the associated Donor Criteria, Gift Criteria, and Redemption logic are applied. 

Step 6: Build and Test Files 

  • Prepare a sample file for upload via SFTP or Portlet.
  • Conduct file validation and dry-run uploads in a test environment. 

Step 7: Conduct Full User Acceptance Testing (UAT) 

  • Validate allocation, balance calculations, redemption limits, and Portlet display.
  • Ensure internal Admins understand the upload process and support protocols. 

Step 8: Final Sign-Off and Go Live 

  • Approve UAT results.
  • Schedule launch and begin uploading live allocation files. 

 

Post-Implementation Management

Step 9: Monitor File Uploads 

  • Verify that scheduled or manual uploads are processed without errors.
  • Address file format or data issues immediately. 

Step 10: Support Internal Admins and Donors 

  • Ensure Admins have access to the Portlet and permissions to manage CSA uploads.
  • Provide donor guidance on how to access balances and submit proposals. 

Step 11: Plan for Annual Updates 

  • Reassess CSA Limits and program rules yearly.
  • Submit a change request to Bonterra if an update is needed (limited to one per calendar year).
