How do I prepare Grantseekers for Multi-Factor Authentication in Apply Online?

As part of our ongoing commitment to security and data protection, CyberGrants offers multi-factor authentication (MFA) to administrators whose nonprofit users access the Apply Online (AOL) platform. When enabled, MFA strengthens account security, reduces the risk of fraud, and helps maintain high standards of data protection for our clients and their grantseeker partners. 

If you choose to enable MFA for your Apply Online site, this change will impact the login experience for your grantseeker partners. To help you prepare, we’ve provided the following guidance to support your communications. This article outlines what will change, what your grantseeker partners will need to do once MFA is enabled, and where they can go for support. 

 

What Changed and Why?

CyberGrants' Apply Online (funder-specific NPO sites) portals are used by grantseekers to track their status, confirm donations and volunteer hours, and provide payment details. 

To support enhanced security, administrators can enable multi-factor authentication (MFA) for grantseeker accounts. 

MFA adds an extra layer of security by requiring users to provide a second form of verification, such as a code sent to their registered email or mobile device, in addition to their username and password. 

  • Administrators can configure how MFA is enforced for Apply Online grantseekers, including requiring an authenticator application or allowing users to receive one-time codes via email in addition to using an authenticator app. 

This helps prevent unauthorized access to accounts, even if login credentials are compromised. 

By investing in MFA, we can strengthen system security and ensure our platform remains a trusted partner for our customers.

 

What Do Grantseekers Need to Do?

Grantseekers using Apply Online will be required to set up multi-factor authentication (MFA) the next time they log in, once it has been enabled. This process includes verifying their email address, selecting and configuring their preferred authentication method (either an authenticator app or email, if enabled), entering a one-time code, and saving their recovery codes for backup access.

Where Can Grantseekers Go for Support?

To proactively address common inquiries from grantseekers requesting assistance with establishing and using multi-factor authentication for Apply Online applications, program administrators can activate a list of Support Areas. Multi-Factor Authentication Support Area text templates exist in the Sandbox environment and must be published to production by a program administrator to appear in the "Need Support" (FAQs) on the Apply Online portal.
