Understanding the CyberGrants Payroll Startup File Process Extension

The Payroll Startup File Process Extension is a one-time, one-way data transfer tool that enables customers to seamlessly migrate all active recurring payroll pledge data from a legacy system into Bonterra's CyberGrants platform. By transferring employee payroll deduction pledges in bulk, this extension ensures that pledge records are in place and ready when employees first log in to the platform. 

This extension plays a crucial role in enabling a smooth transition to CyberGrants for payroll-based employee giving programs. It reduces manual effort, minimizes disruption to ongoing deductions, and maintains continuity of employee payroll contributions across systems. The pre-configured process ensures data accuracy and system compatibility by adhering to Bonterra’s standardized methodology.

Key features: 

  • This extension migrates all active, recurring payroll pledges from a legacy system into CyberGrants.
  • It accepts a one-time, one-way text file—either CSV, pipe-delimited, or tab-delimited—from the payroll system that contains employee deduction data.
  • CyberGrants automatically generates both payroll pledge summaries and detailed records based on the imported data.
  • The system identifies existing organizational records and creates new ones only when necessary to prevent duplication.
  • The data is initially loaded into CyberGrants’ Sandbox (test) environment for review prior to final deployment in the production environment.
  • The extension supports recurring pledge types in both the U.S. and Canada by using mapped codes such as “R” or “CR”. 

Considerations and constraints: 

  • The process can only be completed once and must be executed using an approved, validated file format.
  • Final data must be submitted at least five business days prior to the planned cutover to CyberGrants.
  • A program blackout period is required during the transition to prevent duplicate pledge creation in the legacy system.
  • Any additional pledges created after the file is submitted must be manually entered into CyberGrants.
  • Duplicate organization records may still occur and must be managed using CyberGrants’ merge tools.
  • Only one change per calendar year is allowed to this extension after its implementation.
