How do I use Causes in CyberGrants?

CyberGrants enables Administrators to reduce friction in helping categorize organizations by automatically assigning a cause.

When new tax source files are imported, any organizations that have a valid code (NCES ID, IRS BMF, Canada Revenue Agency) will automatically have a system-assigned cause attached to them

• What is the IRS Business Master file?
  • The Internal Revenue Service Business Master File (IRS BMF) contains information about charitable and tax exempt organizations within the United States. Within the IRS BMF, organizations may designate themselves with a National Taxonomy of Exempt Entities (NTEE) code, which categorizes the organization's area of focus.

• What is the NCES Database?
  • The National Center for Education Statistics (NCES) is the primary federal entity for collecting and analyzing data related to education in the U.S. and other nations. NCES is located within the U.S. Department of Education and the Institute of Education Sciences. NCES fulfills a Congressional mandate to collect, collate, analyze, and report complete statistics on the condition of American education; conduct and publish reports; and review and report on education activities internationally.

• What is the Canada Revenue Agency tax file?
  • The Canada Revenue Agency (CRA) registers qualifying organizations as charities, gives technical advice on operating a charity, and handles audit and compliance activities. Registered charities are required to file an annual information return with the CRA, a portion of which is available to the public, and must meet certain requirements of the Income Tax Act concerning their expenditures and activities. 
• What is the Charity Commission tax file?
  • The Charity Commission for England and Wales maintains the Register of
    Charities, which contains details of charities in England and Wales.

Cause is assigned as shown in the table below:

• • If an invalid code (NTEE Code, CRA Category, Charity Commission Classification Code) is provided, cause will not be updated
  • If a new code is provided, the previously assigned cause is removed and the new cause is applied to the organization
    • This will update historical cause data for donations at the time the update is made
    • Cause data on events is stored at the time the event is created or edited, and it will not be updated if the tax source provides a new code
    • Note: CyberGrants will automatically backfill Cause data on existing events attached to organizations with a Cause when the feature is launched

• Manually assign causes to an event

  • Cause is a standard field and will be added to Event/Opportunity fields for all clients
    • Note: The Cause field must be added to the desired Event Creation proposal type to appear for selection when creating events
    • If present on the Event Creation form, Cause should be set as a required field - if no cause is provided on the event, the event will not inherit the organization's cause
    • If the Cause field is not present on the Event Creation form and the Organization assigned to the event has a Cause, the event will inherit the organization's cause 
    • Causes assigned to events will be tracked under "Self-Assigned Causes" within reporting
  • When creating or editing an event, event creators can assign up to 3 Causes per event
    • Cause field on the event will be pre-filled with the Causes assigned to the organization attached to the event, but event creators can change the assigned Causes
    • 
  • If the event creator selects more than 3 Causes, they will see an error message notifying them that that they selected more than the 3 allowed causes

• Manually designate cause via FrontDoor

  • When an organization assigns themselves a Cause in FrontDoor, it will be stored in CyberGrants as a "Self-Assigned" Cause
  • Self-assigned causes from FrontDoor will be synced down into individual grantmaker records for the organization
    • If the organization is in FrontDoor, they can assign themselves Cause in FD
    • The organization may select up to 3 causes to designate as the Causes that they support

• View causes assigned to organizations

  • Administrators can view both the self-assigned and system assigned cause when looking at the organization record
    • This is a read-only field and cannot be changed by the administrator
  • When accessing the organization page (for example, via Main), admins can view System-assigned Cause under Qualification Information
    •  if nothing has been assigned for System- or Self-assigned Cause, the fields will appear as blanks

• View changes to cause as an administrator

  • Admins can view whether causes assigned to the organization have changed using the Organization Log feature within the Organization page
    • When viewing the organization page, select Toolbox
    • Select timeframe and hit Search
    • If cause has been updated in the selected timeframe, cause updates are visible

• View and edit causes assigned to Events

  • Administrators can view the self-assigned causes when viewing the event record 
  • When accessing the event page within Admin → Volunteer Events, admins can view and edit Self-assigned Cause under Opportunity Information
    • 
  • Select up to 3 Causes that the event will support

• Understand contributions by Cause within Ad-hoc reports

  • System-assigned and Self-assigned Causes are available to use as fields and filters within Ad-hoc Reports

    • Add Cause as a filter in reports

      • Select either Organization or Employee Giving report topics

      • Select Add Filter

      • Choose Cause filter

      • Select desired cause values and select to Save & Proceed

      • 

    • Add cause as a field

      • Select cause field from available report fields

      • 

      • Drag cause field to desired location
