Creating a new budget year in Bonterra CyberGrants allows administrators to establish funding for a new fiscal cycle. Instead of rolling over a budget year, these instructions will guide you on how to start fresh with a new budget structure, to which budget lines and allocations can then be added.
Proceed through the following steps to learn how to create a new budget year.
Step 1: Access the production environment
Budgets are configured in the production environment through the Budget tab. From the sandbox environment, select Access Production or log directly into your production site.
Step 2: Navigate to Budget Years
- In the Navigation Panel, select Budget Years.
- Click New Budget Year.
Step 3: Enter budget year details
In the New Budget Year form, complete the required fields:
- Budget Amount – Enter the total amount available for the new budget year.
- Start/End Dates – Specify the effective date range for the new budget year (mm/dd/yyyy).
- Allow Negative Budgets? – Determine if payments can be created against budgets with insufficient resources.
- Yes - Payments can be created even if funds are not available.
- No - Payments cannot be created unless funds are available.
- Quid Pro Quo payment handling – Determine if deductions from a Quid Pro Quo budget line should include all completed payments or only those that are tax-deductible.
- Tax-deductible payments are those eligible under IRS rules, which do not include items like dinners, tickets, or advertising.
- Product/Service payment handling – Controls how payments for products or services (non-cash contributions) are applied against budget lines.
Step 4: Save and continue
Click Save, then Done. The new budget year has been created. From here, you can proceed with adding budget lines and allocating funds.
The system will display the following:
- Budget Year (label for the year).
- Budget (total funds available).
- Status (defaults to In Process, can later be changed to Open or Closed).
- Unallocated funds (amount not yet distributed across budget lines).
