Details

There are two license types in the system: Full Licenses and Limited-Use Licenses. User licenses determine whether or not an individual can access the CyberGrants platform. If you are looking to upgrade your account, please get in touch with your Client Success team.

Licenses

The licenses at your disposal are determined and specified in your contract. If you wish to expand the number of licenses for your company beyond the renewal phase, please get in touch with your Client Manager.

Types of Licenses:

Description:

Full Licenses

Full licenses give a user the ability to receive access to the entire system. Security and user permissions will determine whether or not a user can access an area or perform an action.

Limited-Use Licenses

Users with Limited-Use licenses will only have read-only access and limited editing options in the system, meaning that most of the system cannot be accessed with this license type. There is a different pricing structure for Limited Use Licenses.

Limited-Use licenses are intended for users:

  • Participating in electronic grant reviews
  • Accessing databases, excluding the Approval section of a grant
  • Running simple queries on the Main tab
  • Corresponding with applicants by mail or email.

 

General limitations

There are general limitations to access for Limited-Use license holders.

Limited-Use license holders cannot:

  • Edit any area of a grant other than the Approval section
  • Access the Reports tab, including standard reports and custom reports
  • Create or manage Ad Hoc reports
  • Access the Mail tab, including letter templates, mailing lists, bulk correspondence, and contact management
  • Access to the Surveys tab
  • Access to the Budget tab
  • Access to the Admin tab

Limited-Use License - System Functionality Access

Limited-Use license holders have access to specific functionality in the system, which includes:

  • View emails generated by the system in response to actions in a workflow
  • Assist with electronic grant reviews
  • Write letters and emails directly from a grant, with the option to use predefined templates
  • Query dynamic lists using the search panel and export information to Excel on the Main tab
  • Print applications as a PDF, Word, or HTML document
  • Review the details of the grant in Read-Only mode

Note: Limited-Use license holders can still edit approval and review sections, providing either Approval and Denial or Recommend/Not Recommend input.

 

Non-Billable Licenses

A non-billable license should be assigned to any user profile explicitly used for testing or inbox purposes. For example, a non-billable user profile might be set up to test approval workflows, have email events without a specific owner go to shared inboxes, or use a specific inbox for support questions.

  • Non-billable licenses can only be assigned by a CyberGrants staff member.
  • Administrators may work with their Client Success team to create Internal Users with Non-Billable Licenses.
