Understanding Reports
Internal users can access the Reports tab on the main menu page in CyberGrants to leverage several features that enable them to perform essential reporting tasks. This portal serves as a centralized hub for generating Ad Hoc, Standard, and Custom reports on your grant management, employee giving, and volunteer programs.
- Users can leverage the keyword search functionality to quickly locate reports by name or title, as well as, preview reports, add them to favorites, create one-click reports, or schedule report executions.
- Furthermore, the platform enables users to tag reports for efficient categorization and easy future access.
- Additionally, users can manage their Ad Hoc reports through a range of actions, including previewing, editing, sharing, cloning, or deleting.
- Through the Reports tab, users can, also, access individual reports from a report library.
Report Types Overview
There are 3 different types of reports available on the Reports tab:
Standard Reports:
| The suite of pre-defined reports which are included in the CyberGrants system. All client accounts with access to reports can run the Standard Reports. Users can limit the data that is displayed when running standard reports with the use of filters. |
Custom Reports:
| Custom reports are created by the CyberGrants development team to meet the unique requirements of a client. Helpful Tip: Not all client accounts will have custom reports. |
Ad Hoc Reports:

On-demand reports can be created on pre-defined groups of data (Report Topics). Within each report topic, the user will be provided a pre-built report that includes the recommended fields and layout for that particular topic. The user can then select additional fields to include in the report, remove fields, and clear all fields to start from a blank slate. Ad Hoc Reports can be run, saved, edited, and shared with other designated users. There are 3 different types of Ad Hoc Reports:
- Tabular: Display data in a straight columnar format and are ordered by the first column of the report. Select this report type if you wish to see detail-level information listed in distinct columns without any grouping or subtotaling. For example, if you wanted to see a comparison of how much an organization was requesting from your foundation in relation to their project budget, as well as a listing of their additional funders, a Tabular report would be appropriate.
- Grouped: Combine similar records under a common heading. Select this option if you wish to have your data items grouped and subtotaled by one or more values. For example, if you wish to see details on all payments made by your foundation this year, broken out by Business Unit, a Group Above report would be appropriate.
- Matrix/Pivot: Display a summary of information without details on the individual line items. Select this option if you wish to have your data items broken out by two different categorizations and summarized. For example, if you wanted to see the amount granted to nonprofit organizations broken out by State and Ethnicity, a Matrix/Pivot report would be appropriate.
